Terms

The agreement between you and Kaizen when you use this website or the Kaizen app at app.kaizenhub.co, written in plain English.

Last updated: 5 October 2026

About these terms

KAIZENHUB TECHNOLOGIES LIMITED, trading as Kaizen. Registered in Northern Ireland, company number NI734180. Registered office: 434 Newtownards Road, Belfast, Northern Ireland, BT4 1HJ.

By using this website or the Kaizen app you agree to these terms. If you are using Kaizen on behalf of a business, you confirm you have the authority to agree for that business. Our Privacy Policy explains how we handle personal information.

Who can use Kaizen

Kaizen is for business use only, by people aged 18 or over. It is not for personal or household use.

Your account

Keep your login details secure and tell us if you think someone else has got into your account. You are responsible for what happens under it, including the actions of any team members you add. Please give us accurate information when you sign up.

Plans and billing

Kaizen has a free plan called Basic and a paid plan called Companion. Companion is billed monthly or yearly, and adding team members costs extra. The current prices are on our pricing page.

Payments are taken through Stripe. Online payment of your own invoices is a Companion feature and uses your own Stripe account.

We are not VAT registered, so no VAT is added to our prices. This may change if we register for VAT in future.

Cancelling

You can cancel at any time. We do not give refunds. After you cancel, you keep access to what you paid for until the end of the period you have already paid for.

Your content

What you put into Kaizen stays yours, including information about your clients. You give us permission to store and process it so we can run Kaizen for you. You are responsible for having the right to use it and for the content being lawful.

Acceptable use

You agree not to:

  • use Kaizen for anything unlawful, or to store or send anything unlawful;
  • try to get into accounts or data that are not yours;
  • interfere with or disrupt the service; or
  • copy, resell or reverse engineer Kaizen except where the law allows it.

We may suspend an account that breaks these terms.

Kai, our AI helper

Kai is available on Companion and is powered by OpenAI. Kai can get things wrong, so check what it drafts or changes before you send it to a client or rely on it.

Data processing for your clients

Kaizen lets you store information about your own clients, through client records, lead forms, questionnaires and client portals. This section applies to that information (“client data”), and is our data processing agreement with you under UK data protection law.

  • Roles. You are the controller of your client data. We are your processor. We handle it on your behalf and only on your documented instructions, which are these terms and your use of Kaizen.
  • Your responsibilities. You decide what client data to collect and why. You are responsible for having a lawful basis, and for telling your clients how you use their information.
  • Confidentiality. Anyone at Kaizen who can access client data must keep it confidential.
  • Security. We use appropriate technical and organisational measures to protect client data.
  • Other companies we use. You agree we may use the services listed below to process client data. We will make sure any company we use is bound to protect it.
  • Helping you with requests. If one of your clients asks to see, correct or delete their information, or you need our help meeting your own data protection duties, contact us at info@kaizenhub.co and we will help.
  • If something goes wrong. If we become aware that client data has been lost or accessed without permission, we will tell you without undue delay.
  • Deletion. We keep account data, including client data, until you ask us to delete it, or the account has been inactive for 180 days, whichever comes first. Files your clients upload go to your own Google Drive and stay there until you delete them.
  • Checking we comply. We will give you the information you reasonably need to show we are meeting these terms.

Services we use

These companies help us run Kaizen and may handle personal information on our behalf:

  • Railway, for hosting.
  • Vercel, for hosting this website.
  • Neon, for our database.
  • Sanity, for delivering this website’s images. It can see a visitor’s IP address when an image loads, and stores nothing else about visitors.

  • Stripe, for payments.
  • Google Drive, for files uploaded by your clients.
  • Mailchimp, for the early access email list.
  • OpenAI, for Kai.

Our responsibility

We will do our best to keep Kaizen running and your information safe, but we cannot promise it will always be available or free of errors. Nothing in these terms limits any liability that cannot be limited by law.

Changes to these terms

We may update these terms from time to time. The “Last updated” date at the top shows when they last changed. If you keep using Kaizen after a change, you accept the updated terms.

Governing law

These terms are governed by the law of Northern Ireland, and the courts of Northern Ireland deal with any disputes.
